From green screens to the age of the Uber student: the evolution of student management systems
When I first started implementing student management systems 30 years ago, students would queue outside enrolment halls, clutching paper-based forms, and on particularly hot days, staff would hand out ice creams to keep spirits high. It was a simpler time but also one that relied on manual processes, physical presence, and patience.
Fast forward to today, and the landscape of tertiary education looks remarkably different. The evolution of student management systems (SMS) has mirrored this transformation from green-screen interfaces to sophisticated SaaS platforms designed to meet the needs of a rapidly changing sector and regulatory environment.
Adapting to an Ever-Changing Sector
The modern tertiary ecosystem is no longer defined solely by traditional degrees. Instead, it’s characterised by micro-credentials, stackable learning pathways, and flexible, student-driven experiences. We are now firmly in the age of the “Uber Student”, learners who expect education to adapt to their lifestyle, accessible anytime, anywhere, in formats that suit them best.
Student management systems have had to evolve in lockstep. What was once a static database of student records is now a dynamic, integrated ecosystem that supports online learning, flexible enrolment, compliance, and lifelong learning journeys. Yet, amid all this transformation, one constant remains: how we implement these systems matters just as much as the technology itself.
The art and discipline of implementation
Despite decades of technological advancement, the core principles of successful SMS implementation haven’t changed. It’s still about collaboration, advisory, and trust.
Working side by side with our customers, not doing the project to them, but with them remains at the heart of how we deliver meaningful outcomes. This means:
- Gathering and validating requirements with care and precision
- Designing solutions that balance operational needs with strategic goals
- Balancing progress over perfection
- Challenging assumptions respectfully to foster innovation and change
Implementation, when done right, is not simply a delivery exercise, it’s an opportunity to transform how institutions operate and engage with their students.
Beyond go-live: the real journey begins
In my experience, go-live is not the finish line, nor is it the end goal, it’s the starting point of continuous value realisation.
During implementation, we configure the system to meet immediate requirements. But true success comes from helping our customers optimise their system over time by leveraging new features, automations, and enhancements that drive efficiency and further enhance student experience.
That’s why I believe our work doesn’t stop when hypercare ends, it marks the start of the next chapter. Through a partnership built on trust, mutual respect, and open communication, we help our customers unlock the full value of their investment and sustain success well beyond go-live.
Evolving together
As the tertiary education sector continues to evolve, so too must our systems and our approaches. The technology will keep changing, but the essence of successful delivery remains timeless: collaboration, partnership, and purpose.
Three decades on, I’m as passionate as ever about shaping the next generation of student management systems, solutions that empower students to self-manage, enable staff to focus on what matters most, and ultimately, deliver meaningful outcomes for everyone.
